Privacy Policy

CRMonia ("CRMonia", "we", "us") provides a customer relationship tool that works inside Gmail. This policy explains what information we handle, why, and the choices you have. The service is operated by Dreamware Ventures Inc., 33 Woods Street, Toronto, Ontario M4Y 2P8, Canada. Questions: privacy@crmonia.com.

1. Information we collect

• Account information. Your name, email address and profile picture, received from Google when you sign in.
• Gmail metadata. When you connect Gmail, we read sender, recipients, subject, date and a short snippet (at most 200 characters) of messages so we can show them next to your cards.
• Linked threads. We store the full content of an email thread only when you choose to link that thread to a card.
• Your CRM data. Cards, contacts, organizations, notes, tasks, pipelines, templates and settings that you create.
• Billing information. Payments are handled by our payment processor. We do not store card numbers.
• Usage and technical data. Log data such as IP address, browser type and error reports, used to keep the service secure and working.

2. How we use Google user data

We use data obtained from Google APIs only to provide and improve the user-facing features you request inside CRMonia, such as showing conversations on a card, scheduling sends and filling templates. We do not use it for advertising, we do not sell it, and we do not let people read it except with your consent, to investigate abuse or security issues, or where the law requires.

Limited Use. CRMonia's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We do not use Google user data to develop, improve or train generalized artificial intelligence or machine learning models.

3. AI features

If you use an AI feature (for example a summary, a next-step suggestion or a reply draft), the content needed for that request is sent to our AI model provider to produce the result. Nothing is sent for AI unless you invoke the feature. Our provider is not permitted to use that content to train its models. [Confirm with provider terms.]

4. Who receives data

We share data only with service providers that help us run CRMonia, under contract:

• Railway: hosting and database, USA.
• Resend: system emails such as sign-in and billing notices.
• Stripe: payment processing.
• An AI model provider [name]: only when you use AI features.
• Google: sign-in and Gmail access that you authorize.

We may disclose data if required by law or to protect rights and safety. If we are involved in a merger or sale, we will tell you before data is transferred.

5. Where data is stored and how it is protected

Customer data is stored in one region in the United States. Data is encrypted in transit, and sensitive fields are encrypted at rest. Access is limited by workspace using database row-level security. No system is perfectly secure, but we work to protect your information.

6. Tracking

Email open tracking is off by default. If you or your workspace turn it on, you are responsible for telling your recipients as the law requires.

7. Retention and deletion

We keep your data while your account is active. You can disconnect Gmail at any time in CRMonia or at myaccount.google.com/permissions; we then stop reading new mail. When a workspace is deleted we remove its data from our systems within [30] days, except what we must keep for legal or billing reasons. To request deletion, email privacy@crmonia.com.

8. Your choices and rights

You may access, correct, export or delete your information, and withdraw Gmail consent at any time. Depending on where you live you may have additional rights; contact us and we will respond within the time the law requires. [Add state-specific disclosures after review.]

9. Children

CRMonia is for business use and is not directed to children under 16. We do not knowingly collect their information.

10. Changes

We will post updates here and, for material changes, notify you by email or in the app before they take effect.
